TOUR RESERVATION & CANCELLATION POLICY

PAYMENT & RESERVATION CONFIRMATION

No tour reservation is confirmed until either the specified deposit amount or full payment has been received.

FULL-DAY TOURS

El Bike Project requires a 100% reservation deposit at the time of booking for all Full-Day Tours.

MULTI-DAY TOURS

El Bike Project requires a 50% reservation deposit at the time of booking for all Multi-Day Tours reserved over 45 days in advance of the reservation dates.

Final payment should be made at least 45 days prior to the reservation.

For multi-day tour reservations made within 45 days of the reservation, El Bike Project requires a 100% reservation deposit.

RESERVATION CHANGES & CANCELLATIONS

PRIVATELY GUIDED FULL-DAY TOURS

Changes to reservation dates will be accommodated on a case-by-case basis and are subject to guide and equipment availability. No reservation change requests will be considered within 48 hours of the scheduled tour start time. Please consider travel insurance to cover expenses associated with lost reservations.

PRIVATELY GUIDED MULTI-DAY TOURS

Reservation changes will be accommodated on a case-by-case basis up to 30 days prior to a scheduled reservation start. Trip deposits for multi-day tours are non-refundable.

FIXED DATE FULL-DAY TOURS

Reservations for Fixed-Date Tours are fixed and, therefore, can not be changed. Clients may opt to participate in the same tour on a separate date. Rescheduling requests will not be accommodated within 48 hours of a tour’s scheduled start time.

FIXED DATE MULTI-DAY TOURS

Reservation changes will be accommodated on a case-by-case basis up to 30 days prior to a scheduled reservation start. Trip deposits for multi-day tours are non-refundable.

CHANGES TO ITINERARIES AS A RESULT OF RESERVATION CHANGES

Reservation changes may result in changes to the originally proposed itinerary. El Bike Project staff will communicate any changes to the original itinerary to our clients when possible.

MULTI-DAY TOURS

All trip deposits are non-refundable. Please consider travel insurance to cover expenses associated with lost reservations.

FULL-DAY TOURS

Small Groups (6 or fewer passengers):

• Cancellations received 30 days or more prior to the reservation start date are eligible for an 80% refund of any tour deposit

• Cancellations received 7 days or more prior to the reservation start date are eligible for a 50% refund of any tour deposit

Large Groups (7 or more passengers):

• Cancellations received 30 days or more prior to the reservation start date are eligible for a 50% refund of any tour deposit

EQUIPMENT RESERVATION POLICY

PAYMENT & RESERVATION CONFIRMATION

No reservation is confirmed until payment is received. Payments are taken in full at the time of reservation and are non-refundable. Walk-in clients are welcome; however, we do not guarantee the availability of models or sizes. We DO NOT reserve bikes without payment confirmation via PayPal (does not require a PayPal account), bank transfer, Yape, or cash deposit.

SAME-DAY RENTALS: Please call our shop in advance for same-day rental inquiries.

RESERVATION CHANGES & CANCELLATIONS

Changes to reservation pick-up times on the day of the reservation should be coordinated via phone call with our store staff. We can not guarantee response to email, text or WhatsApp messages on short notice.

Changes to reservation dates will not be accommodated within 48 hours of a reservation start time. Please consider travel insurance to cover expenses associated with lost reservations.

Reservation changes requested prior to 48 hours before a reservation start time will be accommodated on a case-by-case basis. We cannot guarantee that the same model and size will be available for the rescheduled date or time.

Reservations that are canceled are not eligible for refunds; please do not cancel your reservation if you intend to request a reservation change.

No refunds will be given for bikes returned prior to a scheduled finish date for a reservation. (This applies specifically to multi-day reservations.)

SECURITY DEPOSIT

All clients must pre-authorize a security deposit via credit card for a portion of the bike or equipment cost prior to rental. Clients must present a valid credit card with an available line of credit to cover the pre-authorization amount. Clients unable to comply with security deposit conditions will be refused rental service.

Once the rental equipment has been returned and checked by our staff, a chargeback (security deposit refund) will be applied to the client’s credit card. In the event of damages or equipment loss, a portion or the totality of the security deposit will be withheld according to pre-established rates. Chargebacks can take up to 48 hours for processing.

If rental equipment is not returned within 48 hours of the due date, the full equipment cost will be charged to the credit card on file.

CURRENCY

Nominal rental rates are defined in USD. All online transactions via Bike Rental Manager (PayPal) will be processed in USD.

Exchange rates will be adjusted daily to accommodate in-store payments in domestic currency, Peruvian Soles.

AVAILABILITY

MODELS & SIZES: Bike models and sizes are available as shown on our online rental inventory. Sizes and models that are not shown within our online rental inventory are not available.

COLORS & COMPONENTS: Bike colors and components may vary from those depicted in pictures. El Bike Project reserves the right to substitute colors and components at any time. Our goal is to maintain well-maintained and fully operational bikes.

PICK-UP & RETURN

VALID IDENTIFICATION: All clients must present a valid ID (Passport, DNI, or Carné de Extranjería) at the moment of equipment pickup. Our staff will create a scan or photocopy of said ID prior to handing off bikes or equipment.

PICK-UP AND RETURN TIMES: Rental pick-up should be completed within 1 hour of the scheduled reservation time. Rentals should be returned at least 1 hour prior to store closing on the finish date of the reservation. Clients will be charged for an additional rental day per day of non-return for bikes not returned prior to closing time on the scheduled finish date of the reservation.

RENTAL PERIOD: Standard rental periods are from 9 AM (store opening) to store closing (6 PM) Tuesday through Saturday, excluding most holidays.

24-HR RENTAL : Clients may pick up bikes or equipment between 5 PM and 6 PM the day prior to a rental reservation in the event the reserved equipment is already available (i.e., bike or equipment is not checked out). Clients are allowed a 24-hr rental window (e.g., equipment picked up at 5 PM on Friday is due back at 5 PM on Saturday). 24-hr rentals are not allowed prior to “store closed” days.

PROHIBITED: In no event, should rentals be returned outside of store operating hours. El Bike Project assumes no responsibility for bikes that are left unsecured outside of our store; thefts or damages that consequently result will be charged via a deduction to the client’s security deposit.

GEAR AND ACCESSORIES

INCLUDED: Each non-guided reservation includes a helmet, gloves, and hip-pack with Ride Kit (pump, spare tube, tire levers, multi-tool, El Bike Project Contact Card). Hip-pack and Ride Kit will be inspected upon bike return for damages or missing items.

PEDALS: All bikes come equipped with flat pedals. Riders may substitute Shimano SPD or Crankbrothers pedals for a fee. Riders are welcome to bring their own pedals and our staff will install them at no cost. We offer a limited selection of cycling shoes for rent.

EQUIPMENT TRANSPORT:

Clients planning on transporting a rental bike by vehicle should only do so with a vehicle equipped with proper pads or racks. Please be advised that El Bike Project reserves the right to refuse rental service to clients with improper transportation for our equipment. Specific vehicles can only accommodate a maximum number of bicycles, after which the vehicle is considered overloaded.

PROHIBITED:

●       Overloading vehicles

●       Transporting bikes in pickup beds without a tailgate cover or with an improper tailgate cover

●       Loading El Bike Project rental bicycles onto public buses or vans, or for that matter any public transportation

●       Loading El Bike Project rental bicycles onto motorcycles, mototaxis, or ATVs

●       Loading El Bike Project rental bicycles onto any pack animal (horses, mules, donkeys, etc.)

AGE

Reservation forms must be completed by an adult of at least 18 years of age. Riders under 18 years of age must be accompanied by an adult.
